About How It Works FAQ Request a Diagnostic Review

Everything you need to know before you send your data.

About the process

What kind of data do I need to share?

Classroom observation scores, walkthrough data, or any structured record of instructional practice across your teachers. This could be formal Danielson or TNTP evaluation data, walkthrough tool exports, or spreadsheets your team has been tracking. If you have been collecting it, SchoolScan can read it.

What evaluation frameworks do you work with?

SchoolScan works with any structured evaluation or observation framework. This includes Danielson, TNTP Core Teaching Rubric, Marzano, district-adapted rubrics, and school-developed tools. If your school has a consistent way of measuring instructional practice across classrooms, the data is readable.

How many teachers do I need in my data?

The SchoolScan Snapshot works best with data from 8 to 20 teachers. Fewer than 8 limits the pattern analysis. Larger datasets are handled through the Full Diagnostic engagement. If you are unsure whether your data qualifies, submit the form and Dr. Tillman will let you know.

How long does the process take?

SchoolScan reviews your data and responds within two business days with an initial observation. If you move forward to a full diagnostic session, that conversation runs 75 minutes. There is no extended onboarding process and no long engagement unless it makes sense for your school.

What does the diagnostic session actually look like?

A 75-minute video call with your leadership team. SchoolScan walks through what the data revealed, names the patterns, identifies the root cause, and tells you exactly where to focus first. It is a direct, analytical conversation, not a presentation or a workshop.

About what you receive

What do I actually get at the end?

You receive a written SchoolScan Findings report and a 75-minute diagnostic session. The report identifies the instructional patterns across your classrooms, names the root cause, and gives you one clear priority to focus on. The session is where you and Dr. Tillman work through the implications together.

Will I receive teacher-level feedback?

SchoolScan looks at patterns across classrooms, not individual teacher performance. The findings describe what is happening at the system and team level, which is where the highest-leverage instructional decisions live. Individual teacher coaching is a separate conversation that happens after the pattern is named.

About fit

Is SchoolScan for charter schools, district schools, or both?

Both. SchoolScan works with any school or network that has structured instructional observation data and a leadership team that wants to understand what it is actually showing. Charter schools, traditional public schools, and multi-campus networks are all appropriate fits.

What if I only have walkthrough data and no formal observation scores?

Walkthrough data is often enough to run a meaningful analysis, especially if it is consistent across your building. Submit what you have and SchoolScan will assess whether the data is sufficient for a useful scan.

Is this coaching or evaluation?

Neither. SchoolScan is a diagnostic process and nothing else. It does not coach teachers. It does not observe classrooms. It does not deliver professional development. It reads the evaluation and walkthrough evidence your school already has and tells leadership what the data is actually showing.

This distinction matters. Most schools spend thousands of dollars on coaching and professional development before anyone has confirmed they are focusing on the right problem. SchoolScan reads the data first. What the school does with the diagnosis, including any decisions about coaching or professional development, belongs to the school's leadership team.

About privacy and confidentiality

Is my data kept confidential?

Yes. All data shared with SchoolScan is kept strictly confidential and is never shared with any third party, including your employer, district, or authorizer. Data is used solely to conduct the analysis you requested.

Will my teachers know their data was shared?

That is entirely your decision as the school leader. SchoolScan receives the data you choose to share and handles it confidentially. How you communicate the process to your staff is a leadership decision that SchoolScan does not prescribe.

About investment

How does pricing work?

SchoolScan is a premium diagnostic service. Investment is discussed after the snapshot conversation, once the scope and complexity of the engagement are clear. There is no public price list because each engagement is sized to the school's needs.

Do I need to commit to anything after the snapshot?

No. The snapshot conversation is a genuine starting point, not a sales funnel with a close at the end. If the full diagnostic makes sense for your school, that conversation happens. If it does not, you leave the snapshot with something useful regardless.
